SMS for hospitals, clinics and pharmacies in Tanzania

Tanzanian hospitals and clinics use SMS to cut missed appointments, tell patients their results are ready without revealing them, and remind parents when a child's next vaccine is due. Health SMS in Kiswahili already has a track record here through the national Wazazi Nipendeni campaign. This page shows practical flows, discreet sample wording and the PDPA consent rules for health data.

Tanzania context

What makes hospitals, clinics & pharmacies messaging different in Tanzania

  • The Ministry of Health's Wazazi Nipendeni campaign sent free text messages timed to each stage of pregnancy, and over 100,000 people had registered for it by 2013, which shows how readily Tanzanian families accept health SMS in Kiswahili (KFF, Health Compass).
  • Patients often travel long distances to reach a hospital, so a reminder the day before, or a notice that a clinic day has moved, saves a wasted trip and a lost day's earnings.
  • Many patients are covered by NHIF or private insurance and need pre-authorisation or a valid card on the day. A reminder to bring the card avoids delays at the reception desk.
  • Phones are frequently shared within households, so reminders for sensitive services such as HIV care, mental health or family planning need neutral sender names and wording.
What to send

Messages hospitals, clinics & pharmacies teams in Tanzania send

Appointment reminders

Send a reminder the day before with the date, time and department, and a number to call if the patient needs to reschedule. Antenatal, dental and specialist clinics see the biggest drop in no-shows from simple reminders.

Results-ready notices

Tell patients their laboratory or imaging results are ready to collect or discuss, without stating the result. Give a file number and the hours when they can come or call.

Child vaccination schedules

Store each child's next vaccine date from the clinic card and send the parent a reminder a few days before. A Kiswahili message naming the child and the clinic is easy for any parent to act on.

Chronic care and refill reminders

Remind patients on long-term medication when their refill is due, using neutral wording that does not name the condition. Pharmacies can also tell patients when an ordered medicine has arrived.

Outreach and screening days

Announce free screening days, blood donation drives or new clinic hours to patients who agreed to hear from you, with an opt-out link in each message.

Rules that apply

Compliance for hospitals, clinics & pharmacies SMS in Tanzania

A practical summary with sources, not legal advice. Check the regulator's current text for edge cases.

  • Data concerning health is sensitive personal data under the PDPA, and section 30 requires prior written consent before it is processed. Add an SMS consent line to the registration form and record the answer.
  • Keep diagnoses, test names and results out of SMS. A results-ready notice with a file number protects the patient if someone else reads the phone.
  • The Tanzania Medicines and Medical Devices Authority controls how medicines are advertised. Do not promote prescription-only medicines by SMS, and check TMDA rules before any product promotion.
  • Appointment, results and refill reminders are transactional. Health camp invitations and new service announcements are promotional and need an opt-out.
  • Hospitals, clinics and pharmacy chains must register with the PDPC as data controllers, and should have a processing agreement with any messaging provider.

FAQ

Hospitals, clinics & pharmacies SMS in Tanzania: common questions

Can we send test results by SMS?

It is safer not to. An SMS can be read on a shared phone or a lock screen, and results usually need a clinician's explanation. Send a notice that results are ready with a file number and contact hours, and give the result in person, by phone after identity checks, or through a secure patient portal.

Can a private clinic run maternal reminders like Wazazi Nipendeni?

Yes, on a smaller scale. Record the expected delivery date at the first antenatal visit, then schedule reminders for each visit, danger signs and the postnatal check. Write them in Kiswahili, get the mother's written consent first, and have a clinician approve the wording. The national campaign's stage-based approach is a good model to follow.

What sender ID should an HIV or mental health clinic use?

Use a neutral name, such as the parent hospital or a general clinic name, rather than one that reveals the service. Keep the text to the date, time and a contact number. Patients who want no SMS at all should be able to opt out at registration, and staff should check the preference before any send.

Do pharmacies need consent for refill reminders?

A refill reminder reveals that someone takes a medicine, which is health data, so get the patient's consent when they first collect the prescription. Keep the wording general, such as your order is ready or your refill is due, and stop immediately if the patient asks.
