A school SMS system in Tanzania sends parents fee reminders, termly results, absence alerts and boarding notices as text messages, usually in Kiswahili, from the school's own registered sender ID. The best setups do not replace the school's management software: they connect to it through an SMS API so the data the school already keeps drives every message. This guide shows the messages worth automating, a term-by-term calendar and how to connect an existing school system.

Why SMS still wins for school communication

Parent apps and WhatsApp groups are useful, but they assume every guardian has a smartphone, data and the habit of opening the app. Many do not, especially grandparents and guardians raising pupils on behalf of parents working elsewhere. SMS reaches every handset, needs no data and sits in the inbox as a record. School information systems in Tanzania already recognise this: InfoTaaluma, for example, reports reaching more than 200,000 parents in 253 schools across 12 regions, with academic information available by text message on basic phones.

Fee reminders matter most for private and boarding schools. Public primary and lower secondary schools have been fee-free since 2016, but private schools collect fees per term, usually by bank deposit or mobile money against a pupil reference. A polite, specific reminder with the exact balance and payment details is the single message most schools say saves the bursar time.

Messages worth automating

1. Termly fee reminders

Pull each family's balance from the fees ledger and send it with the deadline and the account or mobile money number. Follow up only with families who still owe, and send a short thank-you to those who pay.

  • "Mzazi wa {jina}, ada ya muhula wa pili TZS {kiasi} inatakiwa kabla ya {tarehe}. Lipa benki au M-Pesa {namba}, kumb. {namba_mwanafunzi}. - Tumaini Sec"
  • "Tumaini Secondary: thank you, we have received TZS {amount} for {name}. Balance for this term: TZS {balance}."

2. Same-morning absence alerts

Once the register is marked, parents of absent pupils get a message asking them to call if the absence is unexpected. Parents learn about truancy the same day, not at the end of term.

  • "Tumaini Secondary: {name} was marked absent today, {date}. If this is unexpected, please call the class teacher on {phone}."
  • "Taarifa: {jina} hakuhudhuria shule leo tarehe {tarehe}. Kama hukutarajia, tafadhali piga {namba}. - Tumaini Sec"

3. Termly results

Send the average, position and a link to the full report once results are approved. Parents without smartphones still get the key figures in the SMS itself.

  • "Matokeo ya muhula ya {jina}: wastani {wastani}, nafasi {nafasi} kati ya {jumla}. Ripoti kamili: {kiungo} - Tumaini Sec"

4. Boarding closing and opening days

  • "Tumaini Secondary closes Fri {date} at 12 noon. School buses leave at 2pm. Opening day: {open_date}. Bring the signed report form."

5. Meetings, events and emergencies

Parents' meetings, sports days, graduation and urgent closures. For emergencies, a short message to every guardian at once is faster than any phone tree.

A term-by-term SMS calendar

The Tanzanian primary and secondary school year runs from January to December. Exact opening and closing dates are set each year, so plug in your school's calendar. The pattern below works for most private day and boarding schools.

National examination seasons

NECTA national examinations at Standard Four, Standard Seven, Form Two, Form Four and Form Six bring their own peaks: registration deadlines, exam dates and results release. NECTA publishes official results on its own website. A useful school message when results are out points parents to the official source and adds the school's own summary. Before you tell parents about any official SMS results service, confirm the details on NECTA's own channels, because codes and formats change.

How to connect your school management system

Most schools already run software for admissions, fees, attendance and results. The goal is to let that system send messages using its own data, rather than retyping lists.

If your system supports an SMS provider

Many school systems have a settings page for SMS where you add an API key and sender ID. Enter your eSMS Africa live key and registered sender ID, and the system's own fee, attendance and results features start sending through it.

If your system can call an API

Your developer or vendor can call the bulk endpoint whenever the bursar runs a fee reminder or the register is closed for the day. Each recipient carries its own variables:

POST https://sms.esmsafrica.io/api/messages/send-bulk
Authorization: Bearer esms_live_xxxxxxxx
Content-Type: application/json

{
  "sender_id": "TumainiSec",
  "text": "Mzazi wa {{name}}, ada ya muhula TZS {{amount}} inatakiwa kabla ya {{due}}. - Tumaini Sec",
  "recipients": [
    {"to": "+255712345678", "name": "Amani", "vars": {"amount": "450,000", "due": "15/01"}},
    {"to": "+255765432109", "name": "Neema", "vars": {"amount": "300,000", "due": "15/01"}}
  ]
}

Test keys (esms_test_...) simulate sends without charge, so the vendor can build and test before going live. Delivery reports by webhook let the system flag guardians whose numbers have stopped working. Developer details are on the SMS API page for Tanzania.

If your system does neither

Export a list to Excel, upload it to the eSMS dashboard and use merge fields. It takes minutes per batch, and you can schedule a whole term's reminders in advance.

Practical rules for school SMS

  • Get consent at admission. Data related to children is sensitive personal data under the Personal Data Protection Act 2022, and section 30 requires prior written consent to process it. Add SMS consent and preferred language to the admission form.
  • Message guardians, not pupils. Fees, discipline and results go to the parent or guardian. Do not send marketing to pupils.
  • Register with the PDPC. Schools that hold pupil and parent data must register as data controllers.
  • Keep it daytime. There is no published legal time window for SMS in Tanzania, but school messages are best sent during the day, except emergencies.
  • Register the sender ID early. Unregistered sender IDs are blocked on the main networks since June 2025. Start registration a few weeks before the term begins through the sender ID page.

Costs

You pay per message at the live Tanzania rate, currently TZS 18.2819 ($0.0069) per SMS on the basic tier, with lower rates on the business tier (TZS 16.9571). A school of 600 pupils sending eight messages per pupil per term can estimate its cost by multiplying 4,800 messages by the rate. There is no monthly fee and no setup fee for the API. See pricing.

Frequently asked questions

Can our school send SMS without changing our school system?

Yes. If the system supports an SMS provider or can call an API, connect it to eSMS Africa. If not, export lists to Excel and upload them to the dashboard. Either way, the school keeps its current software.

What if a pupil has two guardians?

Store both as contacts linked to the pupil and choose who gets which message. Many schools send fee reminders to the payer and absence alerts to both. Each recipient is billed as a separate message.

Should an English-medium school send SMS in English?

Send in the parent's preferred language, which is often Kiswahili even at English-medium schools. Ask at admission and keep a language field so one upload sends the right version to each family.

Can we send NECTA results by SMS?

NECTA publishes official results. Schools can send parents the official link and the school's own summary once results are released, but should not present unofficial figures as final. Check NECTA's channels for any official SMS service.
