SMS for clinics, hospitals and pharmacies in Zambia

Patients travel long distances to clinics in Zambia, so a missed appointment costs a day's work and transport money. A reminder the evening before, or a text saying results are ready, keeps visits useful. This page sets out SMS flows for private clinics, mission hospitals and pharmacies, and how to word them without exposing medical details.

Zambia context

What makes clinics, hospitals & pharmacies messaging different in Zambia

  • Many people pay for care through the National Health Insurance scheme run by NHIMA, and accredited facilities deal with members who want to know what is covered. A short message on what to bring saves time at reception.
  • Mission hospitals and rural health centres serve patients who may share a phone with relatives. Messages should make sense to whoever reads them without revealing a diagnosis.
  • Private clinics in Lusaka, Kitwe and Ndola compete on convenience. Booking confirmations and reminders by SMS reduce no-shows and free slots for walk-in patients.
  • Pharmacies are registered with the Zambia Medicines Regulatory Authority. Refill reminders for chronic conditions such as hypertension and diabetes help patients avoid gaps in treatment.
What to send

Messages clinics, hospitals & pharmacies teams in Zambia send

Appointment reminders

Send a reminder the day before and a short one on the morning of the visit, with the clinic name, time and a number to reschedule. Patients who cannot come free the slot for someone else.

Results ready notices

Tell patients their results are ready for collection or review, without stating the test or the result. Ask them to bring their file number or NRC so reception can find them quickly.

Refill and review reminders

Pharmacies and chronic care clinics remind patients a few days before their medication runs out, and nudge those overdue for a blood pressure or sugar check.

Outreach and immunisation days

Announce mobile clinics, screening days and child health weeks to registered patients in a district, with the venue and hours, and send a reminder the day before.

Rules that apply

Compliance for clinics, hospitals & pharmacies SMS in Zambia

A practical summary with sources, not legal advice. Check the regulator's current text for edge cases.

  • Health information is sensitive personal data under the Data Protection Act No. 3 of 2021. Never put a diagnosis, test name or result in an SMS, and restrict who in the facility can export patient numbers.
  • Health professionals are regulated by the Health Professions Council of Zambia and pharmacies by ZAMRA. Health promotion messages should be accurate and should not advertise prescription medicines to the public.
  • Appointment and results notices are transactional. Marketing a new service or a discount is promotional and needs consent, an opt-out and daytime timing.
  • Ask patients at registration whether they agree to receive SMS on the number they give, and record it. A shared family phone is common, so offer an alternative channel for sensitive programmes.

FAQ

Clinics, hospitals & pharmacies SMS in Zambia: common questions

Can we text HIV or TB results?

We advise against putting any result or condition in an SMS. Messages can be read by family members, and a phone may be lost. Send a neutral 'results ready' or 'please come for review' message and give the result in person or through a secure channel, in line with your facility's confidentiality policy.

How do we handle patients who share a phone?

Use the patient's name and a file number but no clinical detail, so the message is meaningful to the patient and harmless to anyone else. For programmes where even attendance is sensitive, ask the patient at registration whether SMS is acceptable and record their choice.

Can SMS reminders go out on Sunday?

Yes. Appointment and refill reminders are service messages and can be sent any day, ideally in the morning or early evening. Avoid late-night sends for anything non-urgent, and keep any health promotion or marketing message within 07:00 to 20:00, in line with the 2011 ZICTA directive.
