What makes schools, colleges & universities messaging different in Zambia

The school year runs in three terms, starting in January. In 2026 the Ministry of Education reopened schools on 12 January after a preparation week, and term dates are announced nationally, so schools can schedule reminders well in advance.
Grade 7, Grade 9 and Grade 12 candidates sit Examinations Council of Zambia papers late in the year. Results release dates are announced by ECZ, and schools field calls from anxious parents the moment they come out.
Many parents pay fees through Airtel Money, MTN MoMo or a bank deposit slip. A message with the learner's name, balance and payment reference helps the bursar match payments without a queue at the office.
Boarding schools in provinces such as Central, Southern and Copperbelt need to tell parents when buses leave and arrive, and to reach every family quickly if there is an outbreak or closure.

Collect each parent's consent to SMS on the admission form and note which guardian should receive fee messages. Learners' details are personal data under the Data Protection Act No. 3 of 2021, and children's data deserves extra care.
Fee, attendance and closure messages are service notices. Recruiting new learners, open days and fundraising appeals are promotional and should stay within 07:00 to 20:00 with an opt-out.
Do not publish candidate results by SMS on behalf of ECZ. Point parents to the official ECZ results channels and the school's own results meeting.
Keep fee reminders factual and respectful. Messages that shame a learner or threaten exclusion can cause complaints; give a contact for parents who need a payment plan.

ZICTA directed the networks in 2011 to stop promotional SMS between 20:00 and 07:00 and to include an opt-in or opt-out in promotional messages. Treat those limits as the safe default.
The Data Protection Act No. 3 of 2021 is now enforced by the Office of the Data Protection Commissioner, which became operational in 2025; controllers and processors must register.
There is no national do-not-disturb register, so keep your own opt-out list and honour it promptly.
Numeric sender IDs are not supported on MTN, Airtel or Zamtel; use a registered alphanumeric sender ID.

FAQ

Schools, colleges & universities SMS in Zambia: common questions

Can we send each parent a different fee balance?

Yes. Upload a CSV or Excel file with columns such as parent number, learner name, balance and admission number, then write one template with merge fields. Each parent receives their own figures. You can schedule the send for a weekday morning and see delivery reports per parent afterwards.

Should we send ECZ results by SMS?

No. ECZ publishes candidate results through its own channels, and the school should not reproduce them. On results day, a better message tells parents results are out, how to check them officially and when the school will meet Grade 9 or Grade 12 families to discuss next steps.

What sender ID should a school use?

Use a short, recognisable version of the school name, up to 11 characters, such as StMarysSec. Networks check the name against the institution, so register it in the school's name with a letter on headed paper. Parents trust a familiar name and are less likely to ignore a fee reminder.

Can parents reply to our messages?

Not to a one-way sender ID. If you want replies, such as confirming attendance at a meeting, order a two-way short code in Zambia and replies arrive in the dashboard or by webhook. Otherwise include a phone number or WhatsApp contact in the message.
