Church member lists are personal data, and religious affiliation can be sensitive. Under the Data Protection Act No. 3 of 2021, only use numbers members gave for church communication, and keep the list with a small number of trusted administrators.
Fundraising appeals and event promotions to people outside your membership are promotional. Send them only with consent, within 07:00 to 20:00 and with an opt-out.
Share funeral details only with the family's agreement, and avoid including personal information about the cause of death.
For ticketed events, state refund terms clearly. The Competition and Consumer Protection Commission handles complaints about misleading event promotions.

ZICTA directed the networks in 2011 to stop promotional SMS between 20:00 and 07:00 and to include an opt-in or opt-out in promotional messages. Treat those limits as the safe default.
The Data Protection Act No. 3 of 2021 is now enforced by the Office of the Data Protection Commissioner, which became operational in 2025; controllers and processors must register.
There is no national do-not-disturb register, so keep your own opt-out list and honour it promptly.
Numeric sender IDs are not supported on MTN, Airtel or Zamtel; use a registered alphanumeric sender ID.

Can we send SMS in Bemba or Nyanja?

Yes. Greetings such as Mwapoleni or Zikomo fit naturally into English notices, and full messages in Bemba, Nyanja, Tonga or Lozi work too, since they use the Latin alphabet. Ask a fluent member to write or check the templates, especially for funeral and welfare messages where tone matters.

How do we keep different groups separate?

Create contact groups for each section, choir, youth group or committee by importing a spreadsheet with a group column. You can then send to one group or several at once, and members who belong to two groups receive one copy.

Is it acceptable to send SMS on Sunday morning?

Yes, service reminders on Sunday morning are expected by members who signed up. Keep promotions and fundraising appeals to reasonable daytime hours, and avoid late-night messages unless it is an urgent welfare or funeral notice that the family wants shared quickly.
