Who uses bulk SMS in Lusaka, and for what

Bulk SMS is simply one message, often personalised, sent to many people at once. In Lusaka it does a few jobs particularly well, because it reaches every phone on Airtel, MTN and Zamtel, including basic handsets and smartphones with no data bundle.

  • SMEs and shops: order confirmations, collection notices, new stock and payday offers for customers who signed up.
  • Schools: fee balances, opening dates, bus times for boarders and closure alerts. See our school SMS page for Zambia.
  • Churches: service changes, section meetings, giving receipts and funeral announcements. See church SMS in Zambia.
  • Clinics and pharmacies: appointment reminders and refill reminders, without any medical detail in the text.
  • Cooperatives and savings groups: meeting notices, contributions due and loan reminders.

One SMS is up to 160 characters in standard text. Longer messages, or messages with emoji and some special characters, use more than one segment and are billed per segment, so the dashboard shows the count before you send. Full rates are on the pricing page.

Topping up with mobile money

Zambia is one of the countries where you can top up your eSMS wallet with mobile money as well as by card or crypto. Choose the amount in the dashboard, pick Airtel Money or MTN MoMo, and approve the prompt on your phone. The balance shows in your account as soon as the payment is confirmed.

Step by step: your first campaign

  1. Create an account at auth.esmsafrica.io and verify your email and phone.
  2. Request your sender ID. Choose a short version of your name, up to 11 characters, such as "KamwalaHW" or "GraceChapel". Generic words like INFO are rejected. Our sender ID page explains the documents needed. Test on the default sender while it is approved.
  3. Import contacts. Upload a CSV or Excel file with a phone column (format +260 97..., 096..., 095... all work) and any extra columns you want to use, such as name or balance.
  4. Write a template with merge fields, for example "Dear {{name}}, your balance is ZMW {{amount}}".
  5. Preview and schedule. Check the segment count, pick a time between 07:00 and 20:00 for anything promotional, and send or schedule.
  6. Read the reports. Delivery reports show which numbers received the message and which failed, so you can clean your list.

Templates you can adapt

These are written to fit in one SMS. Replace the names and keep the brand at the start.

SME: order ready

Kamwala Hardware: Order #2281 is ready for collection. Pay balance ZMW {{amount}} via MTN MoMo or at the counter. Open 08:00-17:30.

SME: payday offer (promotional)

Kamwala Hardware: Month-end deal, 10% off roofing sheets this Fri and Sat only. Opt out: SMS STOP to {{shortcode}}

School: fee balance

Chelston Academy: Dear parent, {{name}}'s Term 3 balance is ZMW {{balance}}. Pay via Airtel Money, ref {{admno}}, by 15 Sep. Thank you.

Church: service change

Matero Gospel Church: Mwapoleni! Combined service this Sunday 09:00 at the main hall. Youth meeting moved to 14:00.

If you want to write in Bemba or Nyanja, keep it simple and have a fluent speaker check the wording. Local languages written in the Latin alphabet fit in a normal SMS segment.

Rules to follow in Zambia

Bulk SMS is regulated in two main ways: by telecom rules on unsolicited messages and by data protection law.

  • Time and frequency. ZICTA directed the networks in 2011 to block promotional SMS between 20:00 and 07:00, to limit promotions to one a day and to offer an opt-in or opt-out. Its current enforcement is unclear, but it is the safe default.
  • Consent. Only send marketing to people who gave you their number and agreed to hear from you. A bought list of Lusaka numbers is not consent.
  • Opt-out. Put an opt-out in every promotion and remove people who ask. The eSMS opt-out list blocks later sends to those numbers.
  • Data protection. Phone numbers are personal data under the Data Protection Act No. 3 of 2021, now enforced by the Office of the Data Protection Commissioner. Read our explainer on what the Commissioner expects from SMS senders.

Fee reminders, order notices and service changes are transactional, so the promotional limits do not apply in the same way, but a sensible hour still gets better results.

Getting better results from the same budget

  • Clean the list first. Remove duplicates and obviously wrong numbers before you send. The import tool flags invalid formats.
  • Personalise. A name and an amount make a message feel like it is meant for the reader.
  • Time it. Salaried customers act on offers around month end; parents act on fee reminders before the term opens.
  • One clear action. Tell people exactly what to do: pay, collect, attend or call.
  • Use two-way where it helps. If you want replies, such as YES to confirm attendance, a two-way short code can be ordered online in Zambia.

Common mistakes to avoid

Most disappointing first campaigns in Lusaka fail for the same handful of reasons, and all of them are easy to fix before you press send.

  • Sending from an unregistered or generic name. If your message arrives from a number, people assume it is a scam. Register your brand and wait for approval before a big campaign.
  • Uploading a list with mixed formats. Numbers saved as 0977..., 977... and +260977... in the same column can create duplicates. Let the import tool normalise them and remove repeats.
  • Writing too much. A message that runs to three segments costs three times as much and is less likely to be read to the end. Cut it to one clear action.
  • Sending late at night. A promotion that goes out at 22:00 because someone uploaded it after work breaks the safe-default window and annoys customers. Schedule it for the next morning instead.
  • Forgetting the opt-out. Every promotion needs one. Without it you collect complaints instead of customers.
