School SMS for parents in Kenya

Kenyan parents hear about fee balances, closing days and visiting days by SMS more reliably than by any circular. eSMS Africa lets schools, colleges and universities send each parent their own fee balance and the school's paybill details, then announce term dates to the whole school in one upload.

What makes schools & universities messaging different in Kenya

  • Schools follow a three-term calendar set by the Ministry of Education. Parents need closing, opening and half-term dates early, especially for boarding schools where travel must be arranged.
  • Fees are commonly paid by M-Pesa paybill or bank deposit with the student's admission number as the account reference, so a fee-balance SMS can include everything a parent needs to pay.
  • Education is one of the sectors where registration with the ODPC is mandatory regardless of size, and schools handle children's data, which the Data Protection Act protects with extra conditions.
  • Universities and TVET colleges use SMS for registration deadlines, timetable changes, graduation lists and hostel allocation, often to tens of thousands of students at once.
What to send

Messages schools & universities teams in Kenya send

Fee balance reminders

Export balances from your school management system and send each parent their own figure with the paybill and admission number, before opening day and again at mid-term.

Closing, opening and visiting days

Announce term dates, visiting days and half-term to all parents in one send, and follow up with a reminder two days before. Boarding parents get time to plan travel and pick-up.

Fee payment confirmations

Confirm every fee payment as it posts so parents have a receipt and the bursar receives fewer calls asking whether money arrived. Include the new balance in the same message.

Report forms and academic days

Tell parents when report forms are available, when academic clinics or prize-giving days are held, and how to book a slot with a class teacher.

Emergency notices

Reach every parent within minutes for an early closure, a transport change or a health alert. Two-way SMS lets parents reply to confirm they received it.

Rules that apply

Compliance for schools & universities SMS in Kenya

A practical summary with sources, not legal advice. Check the regulator's current text for edge cases.

  • Education institutions must register with the ODPC as data controllers regardless of size. List SMS notifications in your privacy notice to parents.
  • Under the Data Protection Act, a child's data is processed with the consent of the parent or guardian. Address messages to the parent's number on file, not to the student's own phone, unless the parent agreed.
  • Fee balances, term dates and emergency notices are transactional. Adverts for a tuition programme, uniform supplier or holiday camp are promotional and need an opt-out and Safaricom's 08:00 to 18:00 window.
  • Do not include exam scores or disciplinary details in bulk messages. Keep them for a secure portal, a call or a meeting.

FAQ

Schools & universities SMS in Kenya: common questions

How do we send different fee balances to every parent?

Upload a CSV or Excel sheet with the parent's number, the student's name, admission number and balance. In the eSMS dashboard, write the message once with merge fields and every parent receives their own figures. Larger schools can connect their school management system to the API.

Can we send fee reminders in the evening?

Fee reminders to parents are service messages, so Safaricom's promotional time window does not apply. Most schools still send them in the morning or early afternoon, when parents can act on them and the bursar's office is open for questions.

Can parents reply to our messages?

Not to a standard alphanumeric sender ID. If you want replies, for example to confirm attendance at a meeting, add a two-way number or short code, which eSMS Africa offers in Kenya. Replies arrive in your dashboard or by webhook.
