Zambian schools use SMS to send each parent their child's fee balance, to confirm opening and closing dates, to warn about closures and to announce when report cards are ready. With an Excel import and merge fields, one upload sends every parent their own figures, and parents on any network or handset receive it. This guide covers the term calendar, parental consent, ECZ results season and templates you can use straight away.

Why schools in Zambia rely on SMS

Parents may not check email, and WhatsApp groups get noisy and leak numbers to every member. SMS is private to each parent, works without data and lands on the same phone they use for Airtel Money or MTN MoMo, which is often how fees are paid. For boarding schools, it is also the fastest way to reach every family about bus times or an emergency.

Colleges and universities face the same problem at a larger scale: thousands of students, frequent timetable changes and registration deadlines that many miss. The same tools work for them, with groups by programme or year and confirmations sent automatically when a fee payment is recorded.

Plan around the school calendar

The Zambian school year runs in three terms starting in January. In 2026 the Ministry of Education reopened schools on 12 January after a preparation week from 5 to 9 January, as reported by the Lusaka Times. National term dates are announced by the Ministry, and private and international schools may set their own, so build your schedule from your confirmed dates.

ECZ examinations and results day

Grade 7, Grade 9 and Grade 12 candidates sit Examinations Council of Zambia examinations, and results are released by ECZ through its own official channels. Schools should not send candidates' ECZ results by SMS themselves. A better approach on results day:

  • Tell parents results have been released and how to check them through ECZ's official channels.
  • Invite Grade 7 and Grade 9 families to a meeting about placements and next steps.
  • For Grade 12, share when certificates or statements can be collected and how the school can help with applications.

Check the ECZ website for release dates each year, and send your message only after the official release.

Consent from parents

Learners' and parents' details are personal data under the Data Protection Act No. 3 of 2021, which the Office of the Data Protection Commissioner has enforced since 2025. Children's data deserves extra care. In practice:

  • Add a line to the admission form: "I agree to receive SMS from the school about fees, dates, results and emergencies." Record which guardian receives fee messages.
  • Ask separately about fundraising, open days and other promotional messages.
  • Do not share parent lists with uniform suppliers, tutors or other third parties.
  • Remove parents of learners who have left, and update numbers each year.

Fee, attendance and closure messages are service notices. Open days and fundraising appeals are promotional: send them between 07:00 and 20:00, once a day at most, with an opt-out, following the 2011 ZICTA directive as a safe default.

For Bemba or Nyanja versions, ask a fluent teacher to write them. Local-language messages in the Latin alphabet fit in a normal SMS.

Setting it up

  1. Register the school's sender ID, for example "StMarysSec", with a letter on headed paper. See sender ID registration in Zambia.
  2. Export the bursar's list to Excel with columns for parent phone, learner name, grade, admission number and balance.
  3. Import it into the dashboard and create groups by grade or boarding status.
  4. Write templates with merge fields and save them for reuse each term.
  5. Use campaign approvals so the head or bursar signs off before a fee message goes to every parent.
  6. Schedule sends for weekday mornings and check delivery reports to fix wrong numbers.

Developers building a school management system can send the same messages through the SMS API, for example a payment-received SMS when the bursar records a payment.

Cost for a school

Each SMS to a Zambian number costs from ZMW 0.2101 ($0.0104) on pay as you go. A school with 600 parents sending a dozen messages a term can work out its budget directly from that rate; lower rates apply on volume tiers. Top up with Airtel Money, MTN MoMo or card. See the pricing page for live rates.

Handling fee reminders with care

Fee reminders are the messages schools send most and the ones parents feel most strongly about. A few habits keep them effective without damaging relationships.

  • Be accurate. Reconcile mobile money and bank payments before sending. A reminder to a parent who has already paid is the fastest way to lose trust.
  • Be respectful. Address the parent, not the learner, and never threaten to send a child home in an SMS. If there is a policy, explain it in a meeting or letter.
  • Offer a way to talk. Include the bursar's number for parents who need a payment plan.
  • Confirm payments. A short "payment received" message after each payment reduces calls to the office and gives parents a record.
  • Do not overdo it. Two or three reminders a term is usually enough. Daily messages feel like debt collection.

Use delivery reports to find wrong or old numbers, and ask class teachers to update them at the next parents' meeting.

Frequently asked questions

Can we send each parent their own fee balance?

Yes. Upload a spreadsheet with each parent's number and balance, write one template with merge fields such as {{name}} and {{balance}}, and every parent receives their own figures.

Should the school send ECZ results by SMS?

No. ECZ releases results through its own official channels. The school's message should tell parents results are out, point them to the official channel and invite them to a follow-up meeting.

Do we need parents' consent to send fee reminders?

Fee reminders relate to the service the school provides, but it is good practice to record consent for SMS on the admission form. Ask separately for fundraising and promotional messages, which need consent and an opt-out.

Can parents reply to the school by SMS?

Not to a one-way sender ID. If you want replies, order a two-way short code in Zambia and replies arrive in the dashboard or by webhook. Otherwise include the office number.
