SMS for insurers and brokers in Kenya

Most insurance problems in Kenya start with a missed message: a motor cover that lapsed without warning, or a claim the customer thought was forgotten. With eSMS Africa, insurers, brokers and agents can confirm every policy, receipt every premium and send a short update at each claim stage, all from a transactional sender ID.

What makes insurance messaging different in Kenya

  • Insurers, brokers and agents are licensed by the Insurance Regulatory Authority (IRA). Its consumer focus means customers should know what they bought, when it renews and where a claim stands.
  • Motor insurance is renewed annually and cover is checked on the road, so a lapsed policy has immediate consequences for a matatu owner or boda boda rider. A reminder 30, 14 and 3 days before expiry is common practice.
  • Many micro-insurance and medical covers are sold through mobile money and paid in small instalments, so each premium receipt by SMS doubles as proof of cover.
  • Medical claims involve health data, which the Data Protection Act treats as sensitive personal data. Keep SMS updates short and leave diagnoses out of them.
What to send

Messages insurance teams in Kenya send

Policy issued confirmation

Send the policy number, cover dates and a link to the policy document as soon as a policy is bound, so the customer has proof of cover before the paperwork arrives.

Renewal reminders

Schedule reminders ahead of expiry with the renewal premium and the paybill details. Stop the sequence automatically once payment is received, so customers who have already renewed are not chased again.

Premium instalment receipts

Confirm every M-Pesa or bank premium payment with the amount, the period it covers and the next instalment date, which reduces disputes over lapsed cover.

Claim status updates

Text the claimant when a claim is registered, when an assessor is assigned, when documents are missing and when payment is released, each with the claim reference.

Agent and broker notices

Tell intermediaries about commission statements, new product launches and portal changes with a separate sender ID used only for your channel partners, so customers never receive commission or trade messages by mistake.

Rules that apply

Compliance for insurance SMS in Kenya

A practical summary with sources, not legal advice. Check the regulator's current text for edge cases.

  • IRA expects insurers and intermediaries to treat customers fairly, which includes clear renewal and claim communication. Check IRA guidance before using SMS for anything that changes policy terms.
  • Renewal reminders and claim updates to existing policyholders are transactional. Cross-selling another product is promotional and needs a promotional sender ID, an opt-out and Safaricom's 08:00 to 18:00 window.
  • Medical and life claims involve sensitive personal data. Do not name conditions, hospitals or treatments in an SMS; direct the customer to a secure portal or a call instead.
  • Insurers fall under financial services, a sector where ODPC registration is mandatory regardless of turnover. Brokers and agents that hold customer lists should check their own registration status.

FAQ

Insurance SMS in Kenya: common questions

Can we text a renewal reminder to a customer whose policy lapsed last year?

A short service reminder to a recent customer is usually acceptable, but once the relationship has ended, a renewal push starts to look like marketing. Treat it as promotional: use your promotional sender ID, include an opt-out and honour any objection under the Data Protection Act.

How do we stop reminders once the customer pays?

Use the API rather than a fixed scheduled blast. When your payment system confirms the premium, cancel the remaining reminders for that policy. Customers who pay and still get chased tend to call the contact centre or complain. Delivery reports also show which reminders failed, so agents can call those customers instead.

Can brokers send SMS on behalf of several insurers?

Yes. A broker can register its own sender ID and name the underwriter in the text, or an insurer can authorise the broker to use its brand. Sender ID registration in Kenya needs a letter of authorisation from the brand owner, which eSMS Africa will ask for.
