SMS for hotels, tour operators and events in Rwanda
Hotels, safari lodges, tour operators and conference organisers in Rwanda use SMS to confirm bookings, arrange airport pick-ups and keep delegates on schedule. Many guests are visitors on foreign numbers, so messages need international formatting, clear local times and often both an English and a French version.
What makes hospitality, tourism & mice messaging different in Rwanda
- Tourism earned Rwanda about US$685 million in 2025, according to The New Times, which also reported 1.49 million visitors and MICE business from 165 events with 61,888 delegates.
- Kigali hosts large conferences at venues such as the Kigali Convention Centre and BK Arena. Delegates need room, shuttle and session updates in real time, often outside office hours.
- Gorilla trekking in Volcanoes National Park requires a permit and an early start in Musanze, so pre-trek messages with pick-up times matter.
- International guests arrive with roaming SIMs or buy a local MTN or Airtel SIM at the airport. Collect both numbers at booking and say which one you will message.
Messages hospitality, tourism & mice teams in Rwanda send
Booking confirmations
Confirm dates, room type and the balance due, with a link to the booking. Send it to whichever number the guest gave, local or foreign.
Airport transfer pick-ups
Send the driver's name, number and car plate before the guest lands at Kigali International Airport, then a second message when the driver is waiting at arrivals with a name sign.
Trek and tour day reminders
The evening before a trek, send the pick-up time, what to wear and permit details. This is part of the booked service, so it can go out after 7pm.
Delegate updates for MICE
Send badge collection times, shuttle schedules, room changes and session reminders to every delegate. Segment the list by session, track or hotel so each delegate only receives what applies to them.
Post-stay feedback and offers
A feedback request after checkout relates to the stay itself. A discount on the next stay is promotional, so it needs the guest's consent, daytime sending in Kigali time and a free opt-out.
Copy-ready templates for Rwanda
Character counts and segments are calculated with the same GSM-7 and Unicode rules used for billing. Replace the example brand and values with your own.

A practical summary with sources, not legal advice. Check the regulator's current text for edge cases.
- Booking confirmations, transfer details and event logistics deliver a service the guest agreed to, which the RURA regulation excludes from its rules. They can go out after 19:00 when a flight lands late.
- Offers and newsletters to past guests are commercial: send between 07:00 and 19:00 Kigali time, even to guests in other time zones, with the source of their number and a free opt-out.
- Passport details and travel dates are personal data under Law No 058/2021. Hotels and organisers that collect them should be registered with the NCSA and should not store guest data abroad without authorisation.
- For events, get delegates' consent at registration for event SMS, and do not reuse the delegate list for unrelated marketing without fresh consent.

Hospitality, tourism & MICE SMS in Rwanda: common questions
Can we send SMS to guests with foreign phone numbers?
Yes. eSMS Africa sends to international numbers, priced per destination country. Store numbers in international format with the country code. Roaming guests may receive messages from an unfamiliar sender, so open each message with your hotel or event name and keep times in Kigali time.
Does the 7pm rule stop us messaging delegates in the evening?
No, not for logistics. Article 15 of the RURA regulation covers commercial communications, and messages that deliver a service the recipient signed up for, such as shuttle times or a room change, are excluded. Sponsor promotions sent to delegates are commercial and should stay within 07:00 to 19:00.
How quickly can we message 3,000 conference delegates?
Upload the delegate list as CSV or Excel and send one template with merge fields, or call the bulk API from your registration system. Messages go out on direct routes to MTN and Airtel for local numbers, and delivery reports show who received each update.
