Safari operators, Zanzibar resorts, lodges and city hotels in Tanzania use SMS for booking confirmations, deposit and balance reminders, airport and hotel pickups, check-in details and guest support, and to dispatch drivers, guides and housekeeping. Most international guests keep their home SIM, so messages must go to foreign numbers in full international format; local guests and staff are best served in Kiswahili. Register your sender ID with Vodacom, Airtel, Yas and Halotel first, because unregistered sender IDs have been blocked since 16 June 2025.

Tanzania recorded 2,294,495 international arrivals in 2025, up 7.1% on 2024, and Zanzibar recorded 654,880, according to TanzaniaInvest. That is a lot of guests landing at Kilimanjaro, Julius Nyerere and Abeid Amani Karume airports with a phone and a booking reference. This guide covers who you message, what to send at each stage, sample messages in English and Kiswahili, the practical traps (roaming, remote camps, time zones) and the data protection rules for marketing to past guests.

Use 24-hour times in English messages for international guests, and always state that times are local where a guest may still be on home time. Tanzania is on East Africa Time (UTC+3) all year.
Kiswahili messages for local guests and staff
Kiswahili fits the GSM-7 character set, so a Kiswahili message gets the full 160 characters per segment. Keep sentences short. If you write times in Kiswahili, remember that Swahili time counts hours from about 06:00 and 18:00, so 09:00 is "saa 3 asubuhi". Adding the 24-hour time in brackets avoids missed pickups when a driver and a dispatcher read the time differently.

Have a Kiswahili-speaking colleague read every template before it goes live; the samples above are deliberately simple. Our Kiswahili guide to bulk SMS in Tanzania has more wording.
Practical traps
Roaming guests
Most overseas guests are on their home network while in Tanzania. A message to a UK or German number is an international SMS delivered via the guest's home network, and the sender ID may display differently abroad. Store numbers in full international format (+44..., +49...) taken from the booking form, never with a leading zero, and do not assume +255. Messages to foreign numbers are billed at the destination country's rate; check them on the pricing page.
Remote camps and parks
Signal is patchy inside parts of the national parks and on some crossings. Send the next day's pickup details the evening before, while guests are at the lodge, rather than at 06:00. A phone out of coverage receives the SMS when it reconnects if that happens within the network's retry window; delivery reports show these as pending rather than failed.
Payments
International guests usually pay deposits by card or bank transfer. Domestic guests often pay with M-Pesa, Mixx by Yas, Airtel Money or a Lipa Namba at the property. Send the "payment received" SMS only after your system confirms the funds, never from a staff member's phone.
Sender ID
Registration is per network, and unregistered sender IDs have been blocked since 16 June 2025. Use your brand name (up to 11 characters) and keep it identical on Vodacom, Airtel, Yas and Halotel. eSMS Africa handles the submissions; documents and fees are on the Tanzania sender ID page. Standard sender IDs in Tanzania cannot receive replies, so give guests a phone number or link for questions.
Marketing to past guests
A "come back for the long rains" offer to last year's guests is direct marketing. Tanzania's Personal Data Protection Act 2022 (section 35) lets a person require you to stop processing their data for direct marketing. Collect a separate marketing opt-in at booking, record it, include a way to stop in every promotion (a link or a phone number), and honour requests promptly. Organisations that process personal data must also register with the Personal Data Protection Commission (PDPC); the final registration deadline was 30 April 2025 and failure to register carries a fine of TZS 100,000 to 5 million, as reported by Afriwise. Our PDPA and SMS marketing guide covers the steps.
Many international guests are also covered by their home country's privacy rules. Consent at booking is the simplest common ground.
Sending with eSMS Africa
Most operators start in the dashboard at sms.esmsafrica.io: import tomorrow's pickup list from Excel, use merge fields for name, time, hotel and driver, and schedule it for the evening. Once your booking system can call an API, send the same list programmatically:
curl -X POST https://sms.esmsafrica.io/api/messages/send-bulk \
-H "Authorization: Bearer esms_live_your_api_key" \
-H "Content-Type: application/json" \
-d '{
"sender_id": "KiliTrails",
"text": "Kili Trails: Hi {{name}}, pickup tomorrow {{time}} at {{hotel}}. Driver {{driver}}, {{plate}}. Bring passport and water. Help: +255 700 000 000",
"recipients": [
{"to": "+447700900123", "name": "Sarah", "vars": {"time": "06:30", "hotel": "Arusha Coffee Lodge", "driver": "Baraka", "plate": "T 123 DEF"}},
{"to": "+491701234567", "name": "Jonas", "vars": {"time": "06:45", "hotel": "Gran Melia", "driver": "Baraka", "plate": "T 123 DEF"}}
]
}'
Transactional messages such as confirmations go one at a time through POST https://sms.esmsafrica.io/api/messages/send, triggered by your booking system. Delivery reports arrive by webhook, so reception can see whether a guest's pickup SMS was delivered before calling them. Test keys (esms_test_...) simulate sends without charge.
Checklist
- Sender ID registered on Vodacom, Airtel, Yas and Halotel.
- Guest numbers stored in full international format; no assumed +255.
- 24-hour local times in English messages; Swahili time plus 24-hour time in Kiswahili messages.
- Pickup details sent the evening before, not at dawn.
- Payment confirmations sent only after funds are confirmed.
- Separate marketing opt-in, a working way to stop, and PDPC registration in place.
- Kiswahili templates checked by a native speaker.
What it costs
Messages to Tanzanian numbers cost TZS 18.2819 ($0.0069) each on the basic tier, and $0.0064 on the business tier. A safari guest might receive five to seven messages from booking to departure. Messages to international numbers follow each destination's rate on the pricing page.
Frequently asked questions
Will SMS reach guests who are roaming in Tanzania?
Yes, if the number is stored in full international format and the guest's phone has coverage. The message travels via the guest's home network, so the sender ID may display differently abroad.
Should guest messages be in Kiswahili or English?
Use the language of the booking. International guests usually get English; domestic guests and staff often prefer Kiswahili. Kiswahili fits GSM-7, so it costs the same per segment.
Can guests reply to our SMS?
Standard alphanumeric sender IDs in Tanzania cannot receive replies. Include a phone number or link for questions.
Do we need consent to send a booking confirmation?
A confirmation the guest expects as part of their booking is a service message. Offers and newsletters are direct marketing and need a separate opt-in and a way to stop.
